Case study: Opening ceremony, Budapest – HGTECH’s European milestone event

The opening ceremony of HGTECH's first European Laser 4S Store and Global Partners Conference

The challenge: pulling off an international opening ceremony – in less than 24 hours?!

HGTECH chose Hungary as the site of their first European Laser 4S Store — a strategic milestone in expanding their global presence. They planned to mark the occasion with a high-level, two-day event, including a business conference, an official opening ceremony in Fót, and a cultural programme in Budapest.

However, when several guests from China experienced significant flight delays, the entire programme had to be shifted by a full day, with less than 24 hours’ notice. That meant every supplier, venue, and service provider had to adapt immediately. As the project’s owner, Dori remembers:

“I was on the phone with the client at around midnight, [she was] telling me that a lot of important guests’ flights got delayed and won’t arrive on time. The installation of the event was supposed to start at 6 am the next day.”

But she didn’t panic (didn’t sleep much either, and yes, she is on a vacation right now).

And by the next morning, everything and everyone were ready-for the day after! A round of applause for Dori and her co-host, Niki!

Business first: conference and opening ceremony in Fót

So, after all, the event was segmented for two days: on day one, the focus was all business. The event took place at HGTECH’s new site in Fót, less than an hour outside Budapest, where the company officially launched its Laser 4S Store and opened the Europe Smart Exhibition Hall. The venue also hosted a full-day conference, with presentations from the Chinese leadership team and opportunities for networking between regional and global partners.

Budapest by night: celebrating with style

The second day of the programme brought a change of pace and scenery, as guests were welcomed to Budapest for an evening of culture and connection.

The experience included:

  • a private Danube river cruise
  • live Hungarian instrumental music
  • local wines and pastries
  • the illuminated views of the Parliament, Chain Bridge, and Buda Castle

The goal was simple: to offer international guests a relaxed, high-quality experience that captured Budapest’s unique charm.

Behind the scenes: fast reorganisation, seamless execution

Changing an international event’s full schedule in less than 24 hours is never ideal — but it’s part of what we’re prepared for. Our team’s ability to coordinate with venues, logistics partners, catering, and suppliers to ensure nothing was lost in translation, even under time pressure, instilled confidence in our client and allowed them to focus on their guests.

Outcome: successful, on brand, and exactly as intended

The two-day event unfolded smoothly. Guests experienced a seamless combination of professional content and local culture. The opening ceremony in Fót was delivered with precision and style, while the Budapest programme provided a warm and memorable close. From HGTECH’s side, the experience reflected the values they came to Europe to express: innovation, responsiveness, and professionalism.
